Privacy Policy

This policy explains what personal information we receive, why we use it, how our WhatsApp enquiries work and the choices and rights you have under UK data protection law.

1. Who is responsible for your information

landSKapes engineering, based in Coatbridge, North Lanarkshire and serving the Central Belt of Scotland, is responsible for personal information it receives and uses in connection with landscaping enquiries and customer work.

2. Information we receive

  • Contact information you give us, such as your name, telephone number and email address.
  • Project information, including the site address or postcode, requested service, description, preferred timeframe, access arrangements and relevant correspondence.
  • Photographs you choose to send, which may show your property or people. Please avoid including people, number plates or unrelated personal information where it is not needed.
  • Quotation, contract, invoice and payment records where you commission work. The website does not take card payments.
  • Technical information handled by website providers, such as IP addresses, device/browser information, page requests and diagnostic information needed to deliver and protect the website.

Please do not send sensitive information, such as health details, unless it is genuinely needed to explain a project requirement. We do not ask for sensitive information through the quote form.

3. How the quote form and WhatsApp work

The form uses your name, mobile number, location or postcode, chosen service, project description and optional timeframe to prepare a message in your browser. The form does not submit these details to a website enquiry database.

Continuing to WhatsApp passes the prepared text to WhatsApp through its click-to-chat link. WhatsApp may receive that text when the link opens, even before you press Send. We receive your message when you send it to us. If you do not want to use WhatsApp, you can contact us by phone or email instead.

Photos selected on the website remain on your device and are not uploaded or automatically attached. You must attach any photographs yourself in WhatsApp before sending them. WhatsApp operates under its own privacy policy.

4. Why we use information and our lawful bases

  • Enquiries, quotations and delivering work: to take steps at your request before a contract and to perform an agreed contract.
  • Accounts and legal obligations: to maintain records and comply with applicable tax, accounting and other legal requirements.
  • Customer service, security and disputes: our legitimate interests in responding to correspondence, keeping services secure and handling complaints or legal claims, balanced against your rights and expectations.
  • Optional publicity or marketing: where consent is required, we will seek it separately. Sending an enquiry is not consent to marketing or to publishing identifiable photographs of your property.

Where consent is the basis, you can withdraw it by contacting us. Withdrawal does not affect processing that was lawful before you withdrew consent. If special-category information is necessary, we must have both a lawful basis and an applicable additional condition before using it.

5. Who information may be shared with

Information may be handled by the providers needed to communicate with you and run the business, including WhatsApp, email and telephone providers, website hosting and asset-delivery providers, and professional advisers or payment providers where relevant to your project.

Where needed to carry out agreed work, relevant project details may be shared with suppliers or people helping deliver that work. Only information needed for the task should be shared. Information may also be disclosed where required by law or necessary to establish, exercise or defend legal claims. We do not sell your personal information.

The website is hosted using Lovable services and uses externally delivered project photographs and Google Fonts. These providers receive technical requests when their services load. Social links lead to Google, Facebook, Instagram and TikTok; those platforms apply their own privacy notices when you visit them.

6. Cookies, browser storage and technical services

The public pages do not include an advertising tracker or an analytics tool added by us. Hosting and delivery services can still process technical requests and logs to operate the website. Google Fonts receives your IP address and request information when fonts are loaded; see Google’s privacy policy.

The quote form keeps its current entries and selected-photo information in browser memory while you use it. It does not save an enquiry in persistent browser storage. Technical storage may be used for platform access or security where those functions are used; this does not mean that public visitors need an account to request a quote.

You can manage cookies and site data through your browser settings. If optional analytics or advertising cookies are introduced, we will seek consent before placing them where required by law and update this policy. Visiting an external platform may result in cookies or storage governed by that platform’s policy.

7. International processing

Some hosting, email, font-delivery and messaging providers operate internationally and may process information outside the UK. Their privacy notices explain their locations and transfer arrangements.

Where we arrange a restricted international transfer of personal information, we must ensure that appropriate protection applies, such as UK adequacy regulations or approved contractual safeguards, together with any required assessment. Contact us if you would like information about safeguards relevant to your data.

8. How long information is kept

We retain information only for as long as it is needed for the purpose for which it was collected. The period depends on whether an enquiry becomes a job, ongoing correspondence, aftercare obligations, legal requirements and any unresolved complaint or claim.

  • Unsuccessful or inactive enquiries are reviewed and deleted when no longer needed for follow-up or a genuine dispute.
  • Customer contracts, invoices and related records are retained for applicable tax and accounting obligations and for the period reasonably needed to handle contractual claims.
  • Photographs and correspondence are kept only while needed for the project, agreed aftercare, an authorised use or a legal reason.
  • Technical logs and platform records are subject to the relevant provider’s retention practices.

You can ask about the retention period or criteria that apply to your particular information. A deletion request may not remove records we are legally required to keep.

9. Keeping information secure

We use reasonable organisational and technical precautions to protect information and limit access to those who need it. No website, email or messaging service can be guaranteed completely secure. Avoid sending passwords, full card details or unnecessary sensitive documents.

10. Your data protection rights

Under UK data protection law, and subject to the conditions and exceptions that apply, you may:

  • Ask for access to your personal information and a copy of it.
  • Ask us to correct inaccurate or incomplete information.
  • Request deletion or restriction of processing.
  • Object to processing based on legitimate interests, and object to direct marketing at any time.
  • Request a portable copy of information where the legal right applies.
  • Withdraw consent where processing relies on it.

Contact landskapes.eng@gmail.com to make a request. We normally respond within one month of receiving a valid request; lawful extensions may apply for complex or multiple requests. We may need to verify your identity. Requests are normally free of charge.

The website quote form does not make automated decisions or profile you to decide whether you can receive a service. Providing the required contact and project details allows us to respond meaningfully; without them, we may be unable to quote or arrange work.

11. Complaints and changes to this policy

Please contact us first if you have a concern so we can try to resolve it. You can also complain to the Information Commissioner’s Office, the UK data protection regulator, at ico.org.uk/make-a-complaint or by calling 0303 123 1113. You do not have to contact us before contacting the ICO.
